Every call used to interrupt him. Now most don't.
A home service provider's phone rang straight through to him, so ignoring a call risked losing business, but answering one broke his day. Oak City Labs built an AI receptionist that now handles most calls on its own.
The challenge
The owner ran his home service business off a single phone number that rang straight through to him, wherever he was. That made every call a tradeoff. Ignoring it risked losing a customer to a competitor who picked up. Answering it, whether it turned out to be a real customer, a scheduling question, or a spam call, meant stepping away from a job to deal with it. There was no way to tell which kind of call it was until he'd already stopped what he was doing.
The solution
Oak City Labs built an AI receptionist that answers every call directly, backed by a knowledge base built from the business's own services.
Filters out the noise
Spam and robocalls are recognized and politely dismissed without ever reaching the owner.
Answers from a real knowledge base
Questions about services are answered using a knowledge base built from the business's own offerings, not a generic script.
Books and reschedules appointments
The receptionist schedules new appointments, reschedules existing ones, or takes a callback request, no live agent required.
Knows when to ring through
Calls that genuinely need the owner still ring through immediately. Everything else is handled without interrupting him.
The results
The owner no longer treats every incoming call as something he has to handle in the moment. The AI receptionist handles the vast majority of calls on its own: spam gets filtered before it ever rings through, real questions get answered from the knowledge base, and appointments get booked or moved without him touching his phone. Fewer calls go unanswered, since the receptionist is always available, and he calls customers back when he's actually free instead of whenever the phone happens to ring.
